The crawl process at Baron starts with a simple phone call. We know that we aren’t for everyone. That is why we take the time to get to know you, and hope you get to know us. This phone call serves as a way to touch base and make sure that a partnership with Baron is beneficial for everyone.

We don’t just take on any and every client, because it isn’t always a good fit. We want to be happy, and we want you to be happy. That’s why it isn’t a sales call, it is more of a negotiation for our two businesses to see if we can collaborate in a meaningful and positive way.

Walking

This part of the process will involve talking to our own in-house, onboarding specialist. After you have finished with our sales executive, will be your point of contact throughout the rest of the onboarding process.

The Onboarding Link

Baron tries to keep the process as simple as possible. Via email you will receive an onboarding link. This will direct you to a portal where you can provide all the necessary information and paperwork, such as signatures to give Baron power of attorney for and access to your previous payroll portals if applicable. This also includes federal and state compliance forms that must be filled out before any company can do payroll.

The Welcome Email

As shown above, this welcome email will help you get oriented to Baron’s process. It is important to note that Baron has a first sign, first served policy. This means that if you delay in signing the paperwork, you will be moved behind the clients that do, delaying the process. Baron CANNOT move forward on your case until you have provided the proper information and consent.

Running

As anyone who has visited our learning center will tell you, there is essentially an infinite amount of information to learn about payroll and HR. That is why it simply makes sense to have a professional representative in your corner. It will ultimately save you time and money so you can focus on what you do best, run your business.

Implementation

There really is not much input required from you through all of these steps. All Baron needs to set your business up on our platform from you is information such as:

  • Access to your current payroll platform/information
  • Prior History of Payroll
  • Benefits for employees
  • Special caveats/rules for your individual business
  • Workers’ compensation and Disability MUST be set up to comply with labor laws. Baron has internal directories/partners to help you get compliant if needed.

Training

Baron won’t just leave you high and dry. We work with you every step of the way to ensure that you know how to use all the fancy bells and whistles on our state-of-the-art platform.

Once we have all the appropriate paperwork and signatures from you, we will schedule a day to train for each module you need.

First priority is the time and attendance system. This is essentially where you will input all of the hours worked for your employees. Our onboarding specialist will guide you through the process until you are comfortable with every facet of it.

Once you have that mastered, we will move on to the HR module. This is important because a statistic found that 41% of HR executives focus on adoption of digital tools to drive business growth. This is a hub that helps you stay up-to-date and compliant with the dizzying array of employment and business law on the federal and state level.

Flying

How Long Does It Take?

Depending on how complex your payroll process is, and how frequently you pay out, this process from start to finish could take a single day, or up to 12 weeks in some of the largest and most complex cases. Typically, those who have never done payroll are the fastest because you do not have to factor in any histories or special caveats.

If you are looking to switch up your entire payroll process when moving to Baron however, including lots of specialized rules, this can delay the process and make it take a bit longer to get to the finish line.
